BOOKINGDESK POLICIES

Terms and Conditions

Terms for using BookingDesk's restaurant booking diary and purchasing access to its core features.

Draft updated: 31 October 2026 · Effective date: [to be confirmed before accepting live payments]

1. Operator and agreement

BookingDesk provides the service described in these terms. In these terms, "BookingDesk", "we", "us" and "our" refer to the operator of the BookingDesk service.

By creating an account or continuing to use BookingDesk, you agree to these terms. If you act for a restaurant or other organisation, you must have authority to bind it. If you do not agree to these terms, do not use the service.

2. Service and account responsibilities

BookingDesk provides a booking diary, dashboard, table management, floor plan, customer records, reports and restaurant settings. It is a management tool; the restaurant remains responsible for reservations, guest communications, table allocations and its hospitality services.

Provide accurate account information, keep it updated and protect your sign-in credentials. You are responsible for activity through your business account. Contact ronshipio@gmail.com if you suspect unauthorised access. Access is for your venue's internal business use under the chosen plan, not resale or redistribution.

3. Acceptable use

You must not use BookingDesk unlawfully, for fraud or spam, or to infringe another person's intellectual property or privacy rights. Do not upload malware, interfere with security, attempt to access another restaurant's records, scrape the service without authorisation, bypass technical limits or disrupt its operation. Do not reverse engineer the service except where applicable law expressly permits it.

4. Your records and privacy

You retain your rights in the information you enter. We process information as necessary to provide the service, follow your lawful instructions and meet legal obligations. You must have the rights and lawful bases needed to enter guest information and provide any required privacy notices.

Our Privacy Noticedescribes how account data is handled and how guest records are processed for restaurants. Contact ronshipio@gmail.com about privacy questions or rights-holder complaints.

5. Intellectual property and licence

The operator and its licensors retain ownership of BookingDesk's software, documentation, branding and other service intellectual property. A valid plan grants a limited, non-exclusive, non-transferable right to use the included features for your business. It does not transfer ownership of the software or grant a right to copy, sell or distribute it.

6. Prices, subscriptions and taxes

BookingDesk offers the following payment options: £9.99 monthly, £99 annually, or £249 as a one-time lifetime purchase. Prices are in GBP. Applicable taxes and the final payable total are shown at checkout before you pay.

Monthly subscriptions renew every month and annual subscriptions every year until renewal is cancelled. You authorise recurring payments on the selected cycle under the applicable checkout terms. Any price changes will be communicated before they apply, with an opportunity to cancel renewal. Price changes do not retrospectively change a completed lifetime purchase.

7. Paddle as Merchant of Record

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides customer service inquiries and handles returns.

Paddle handles payment, billing, applicable sales taxes, invoicing and refund processing. Its Buyer Terms apply to payment, billing, tax, cancellation and refund mechanics. For payment enquiries, receipts or refunds, visit paddle.net. For BookingDesk product support, contact ronshipio@gmail.com.

8. Cancellation and billing-cycle changes

Cancel subscription renewal through "Manage subscription" on the Billing page, which opens Paddle's customer billing portal. If you cannot access it, request assistance through paddle.net or ronshipio@gmail.com. Cancellation takes effect at the end of your current paid period. You retain access until then and no further renewal is due once cancellation is effective.

Switching between monthly and annual billing takes effect at renewal, not immediately. Cancel renewal for the existing subscription, then purchase the new option when the paid period ends. Cancelling renewal is separate from requesting a refund and does not automatically delete your account or records.

9. Lifetime purchases

The £249 lifetime option is a one-time payment granting permanent access to the included BookingDesk core features for the purchasing account, with no renewal fees for that access. Core features include the diary and dashboard, tables and floor plan, customer records and history, reports and venue settings.

A lifetime grant has no scheduled expiry and does not require monthly or annual payments. It does not promise every future separate product, add-on or premium feature, or uninterrupted operation of the service forever. The included permanent core access will not be converted into a required recurring plan. Access remains subject to these terms and any lawful suspension or completed refund or reversal of the purchase.

10. Refunds and statutory rights

Our Refund Policyexplains refund eligibility, the applicable request period and how to request a refund. Paddle processes refunds. Cancellation, refund requests and account deletion are separate actions.

Nothing in these terms excludes mandatory consumer rights, including applicable cancellation rights and remedies for faulty or misdescribed digital services. Applicable statutory rights remain unaffected.

11. Availability and liability

We do not guarantee uninterrupted or error-free operation. Maintenance, faults and provider outages may affect access. Keep appropriate independent records for your business continuity and verify booking details. BookingDesk is a management tool and is not responsible for running your venue.

To the extent permitted by law, we are not liable for indirect or consequential loss, including lost profits, business or goodwill. Nothing limits liability for fraud or fraudulent misrepresentation, death or personal injury caused by negligence, or any liability or statutory right that cannot lawfully be excluded.

12. Suspension, termination and records

We may suspend or terminate access for material breach, non-payment after the paid entitlement ends, security or fraud risk, or repeated or serious policy violations. Where appropriate and safe, we will explain the issue and offer a reasonable opportunity to resolve it. Urgent security risks may require immediate action.

On termination, your right to use the service ends. Record retention and deletion follow the Privacy Notice and applicable law. Contact ronshipio@gmail.com before account closure about retrieving or deleting your records.

13. Changes, governing law and support

We may update these terms and will provide notice of material changes where required. Changes will not remove accrued mandatory rights or the permanent core entitlement of a completed lifetime purchase. Applicable consumer protections remain unaffected.

Product support and complaints: ronshipio@gmail.com. Payment and refund assistance: paddle.net. These terms concern BookingDesk software access, not payments between restaurants and their guests.
